A 1,000-person overnight company outing near Manila costs roughly ₱5,000 to ₱7,000 per guest, all in — room, meals, venue and program for two days and one night. That is about ₱5,000,000 to ₱7,000,000 total, or US$90–$125 a head. We know because a manufacturing company based in Ortigas gave us exactly that brief, and we took it to 15 resorts across Luzon.
The budget was never the problem. The beds were.
The brief
One thousand guests. Firm, not approximate. Overnight — two days, one night, on fixed dates with no flexibility. Indoor and outdoor space for teambuilding. Full lodging for all 1,000 attendees. Within a three-to-four-hour drive of Ortigas, which put Bataan, the Batangas coast, Tagaytay and Cavite, Laguna, Clark and Subic in play. Beachfront preferred, with a stated willingness to stretch the budget for a strong beach option.
The planner wanted a venue locked within four days. The event was 39 days out.
And their own first choice — a well-known Bataan beach development they had named on the form — had already told them no before they ever reached us. Its VenueKonnex listing shows why in one line: Camaya Coast — Events Pavilion & Beachfront Lawns is built for up to 300 guests (₱175,000 average for a typical event, 4.7 across 57 reviews). Beautiful, real, and a third of the size of the ask.
What 15 venues actually said
We emailed all 15 on the same day with the same brief. The replies that came back were not about price. Every single one was about capacity — and specifically, about the gap between how many people a venue can host and how many it can house.
- A Subic beach resort: maximum 190 guests, and fully booked on the dates anyway.
- A second Subic resort: replied in one sentence — the hotel cannot accommodate 1,000 pax.
- A Tagaytay farm resort that markets itself for large groups: 400 guests on a day tour, 200 guests overnight. Their own recommendation was to split the company into batches.
- A Laguna lakeside resort: villas cap out at 40 guests each.
- An Anilao beachfront resort: function rooms confirmed to 250, with an island venue reachable by a 15–20 minute boat ride.
- An upland adventure resort in Bataan: 350 on-site at a time. When we asked them to itemise the lodging, the answer was 2 couples’ rooms, 18 deluxe, 4 suites and 13 superior — 37 rooms, 250 guests maximum.
That 400-day / 200-overnight split is the number to remember. Overnight capacity ran at roughly half of daytime capacity at the one venue that published both. It is the same failure mode we wrote about when a listing says 200 guests but the seated dinner holds 110 — except with lodging the gap is bigger, and it is invisible until someone asks.
The arithmetic nobody had run
Here is our own math, not a venue’s. A thousand people overnight at double occupancy is about 500 rooms. Single occupancy, it is 1,000.
The largest single room inventory that surfaced anywhere in this search was 37 rooms. That is 7.4% of what the brief required.
Put differently: the resorts near Manila that can seat 1,000 for lunch are not rare. Ballrooms and covered pavilions at that scale exist — Hilton Clark Sun Valley Resort’s Grand Ballroom in the Clark Freeport Zone runs to 400 guests across 8,000 sqft (₱4,250 average, 4.7 across 1,409 reviews), and it was not part of this search. What is rare — close to non-existent inside a four-hour drive — is a single property that can put 1,000 heads on 1,000 pillows on one specific night.
The model that actually works: rotation
One venue answered the question properly, and its answer is now published on its own listing page. Vista Venice Highland Resort in Morong, Bataan states it comfortably hosts 350 guests at a time for daytime programming — teambuilding, meals, plenary sessions — and that because its zipline, wall-climbing and rappelling stations run in scheduled batches, groups of up to 1,000 can rotate through over two days.
Its published package rate: approximately ₱3,000 per person for a two-day, one-night package.
Read that against the brief. The budget was ₱5,000–₱7,000 a head. The published rate is ₱3,000 a head — the budget was 1.7x to 2.3x the going package price. This planner was not underfunded. They were over-specified. They had asked for a shape of event — 1,000 people, one property, one night — that the supply near Manila does not come in.
What 1,000 guests overnight actually costs, per unit
Because overnight events are priced per head and not per hour, here is the same money expressed four ways, so you can compare it to a quote you already have:

The per-day and per-room-night figures are our normalisation off the published package, flagged as such. Venues quote the per-head number; finance departments approve the total; nobody converts between them, and that is where offsite budgets go wrong.
For context on how far a peso stretches at smaller headcounts, a 100-guest Manila event with a ₱120,000 budget drew real quotes of ₱280,000 to ₱392,000 — the opposite problem, and far more common.
Half our emails never arrived
One operational finding worth publishing: of the 15 provincial resorts we emailed, 8 hard-bounced — addresses rejected outright by the receiving server. That is a 53% bounce rate, against the roughly 11% we measure across 897 venue records worldwide. Provincial resort inboxes decay fast. Several of the strongest-fit properties in this search were only reachable by mobile number.
What we’d tell the next planner booking 1,000 overnight
- Ask for room count, not guest capacity. “How many guests can you host?” gets you the ballroom number. “How many rooms do you have, and at what occupancy?” gets you the real ceiling.
- Assume 2 guests per room and divide. 1,000 guests is 500 rooms. Ask that question first and you eliminate 90% of a shortlist in an afternoon.
- Decide early whether you’ll accept batches. Rotation over two days, or two properties running in parallel, is the normal shape of a 1,000-pax Philippine offsite. It is not a compromise — it is the format.
- 39 days is very late for 1,000 beds. Day events at that size can be found late. Lodging blocks cannot.
- Check the money against a published package before you set it. This budget was nearly double the market package rate and still didn’t buy the thing it was written for.

- ACEA Subic Bay — Grand Ballroom & Function Rooms, Subic Bay Freeport Zone — up to 250 guests, ₱215,000 average, 4.4 across 1,294 reviews. This one was in our outreach; its ceiling is the reason it wasn’t a fit.

Further than 39 days. Room blocks at that scale get committed months out, and unlike a ballroom, a resort cannot create more of them for you.
Is a rotation or batch model normal, or is it a downgrade?
It’s normal. Adventure resorts already run activity stations in scheduled batches, so a 350-at-a-time property can legitimately move 1,000 people through a two-day programme. Ask how the meal services and sleeping blocks are sequenced, not just the activities.
