A private room for 20 people in Boise can cost $1,300 to $2,300 before tax, or roughly $435 to $765 an hour for a three-hour dinner. That is the real range from one live case we worked this summer, and it sits comfortably under the planner’s $3,000 budget.

Getting there took a detour. The planner’s first-choice venue was not available to the public at all.

The ask: 20 guests, one Sunday, $3,000

A planner sent us a short request through the site. Twenty guests. Sunday, August 30. A $3,000 budget, which works out to $150 a head. The form did not say what the event was. It did name the venue she wanted: the Hidden Springs Community Barn.

That barn is a good-looking listing with a rustic room and a small-event feel. So we did what we always do first. We called to check availability and the rate.

Dead end #1: the barn is members-only

The answer was no, and it was not about the date. The barn is run for Hidden Springs residents. It is not open to public rentals. Unless the planner knew a member, her first choice was off the table.

This is the quiet failure mode of venue search. A room can look bookable on a map, a directory and a listing page and still be closed to outsiders. A five-minute phone call found it. A form never would have.

The rule we took from it: confirm “open to the public” before you fall in love with a room. Ask one question: “Do you rent to non-members or non-residents?”

What we found instead: two Boise rooms that fit 20

We pivoted to small private rooms in Boise that actually rent to the public and actually seat 20. Two answered quickly.

The Trolley at Sockeye Grill & Brewery

The Trolley is a private room inside a working craft brewery on West Fairview Avenue. The general manager replied within a day of our written inquiry. Aug. 30 was open, and she sent the full terms:

  • Room rental: $250 plus tax, with three hours included. Extra time is $100 an hour.
  • Food and beverage minimum: $500.
  • Entrees: $21 to $28 per person before tax. Pork loin and chicken primavera are $21, salmon is $26, and a New York strip is $28. Two entree options per group, plated or buffet.
  • Appetizer packages: $22, $30 or $45 per person.
  • Drinks: on consumption. Pints run $7 to $9 and wine $8 to $14 a glass.
  • Add-ons to know about: 20% automatic gratuity, a $20 cake-cutting fee, and a $150 cleaning fee only if you use confetti, glitter or staples.
  • The catch: the room holds a maximum of 20. There is no headroom. Guest number 21 is a different venue.

Here is our math, so you can check it. Take 20 guests on $26 salmon entrees ($520), plus about two drinks each at $9 ($360), plus the 20% gratuity ($176), plus the $250 room. That is $1,306 before tax. Now go bigger: 20 New York strips ($560), a $30 appetizer package for everyone ($600), three drinks each ($540), plus gratuity ($340) and the room. That is about $2,290 before tax. Both land inside $3,000.

The Melting Pot, private room

A second option, the Melting Pot’s private room in Boise, also had Aug. 30 open. A manager gave a rough phone estimate of about $1,484 for a four-course meal for 20, or about $74 a head, with beverages not included. That is a verbal ballpark, not a written quote, and we say so on purpose. Our first written inquiry bounced because we had been handed a wrong email address. The correct one only turned up after a second phone call. A phone number beats a guessed email every time.

Per-hour pricing for a small Boise dinner

Searchers ask for hourly numbers, so here they are.

  • Room fee only (The Trolley): $250 for three hours is about $83 an hour. Each extra hour is $100.
  • All-in for 20 guests over three hours: about $435 to $765 an hour, depending on food and drinks.
  • Four-course meal (Melting Pot, verbal): about $1,484 before drinks. The hours were not part of the estimate.

For a bigger or more formal Boise event, two other live listings sit at a different scale. The Basque Center holds up to 300 guests and lists an average price of $3,000. Idaho Botanical Garden lists an average event price of $2,750.

What this case teaches planners

  1. Ask the access question first. “Open to the public?” saves days.
  2. Treat firm capacity caps as a hard line. A room that holds exactly 20 will not hold 22. Confirm the cap in writing.
  3. Read the add-on lines. A $250 room fee came with a 20% gratuity and a $500 minimum. The room fee was the smallest piece.
  4. Get two real numbers. Two venues with Aug. 30 open gave the planner a comparison, not a guess.
