Of the 30 venues in our planner cases where we logged both the day we asked and the day they first replied, 20 answered within 24 hours. Only 5 took longer than a week. The median reply time was one day. The slowest was 19.

That gap matters because planners do not wait. A planner with a date and a budget is emailing a dozen rooms at once. The venues that answer first stay on the shortlist. Here is the data, and the three-line habit that puts a venue in the fast group.

The count: 30 replies, 910 venue contacts

We went through every planner case we have worked. Across those cases we logged 910 venue contacts. Most never got a reply, and most rows carry no reply date at all. Only 30 rows have both dates: the day we reached out and the day the venue first answered. This is a small sample, and we are treating it that way. It is still the cleanest reply-speed data we have.

  • 13 of 30 replied the same day.
  • 20 of 30 replied within 1 day.
  • 25 of 30 replied within 7 days.
  • 5 of 30 took 8 to 19 days.

The surprise: most same-day replies were a “no”

Of the 13 same-day replies, 9 were a no, a redirect or an “unavailable.” Only 4 were an engaged yes.

Examples from real cases: a country club that said the date was taken and offered two others. A county events center that said the date was not available. A recreation district that said it did not fit the model. A community club that said it was under renovation.

Every one of those was useful. A same-day no frees the planner to move on. A same-day “no, but try these dates” keeps the venue in play for the next event. The slow replies did the opposite: the planner waited, then had to chase.

What a fast, useful reply looks like

One Temecula winery in our data answered a wedding brief the next day with full packages: five hours included, a Saturday evening start and a clear per-person structure. The planner could compare it to other quotes the same afternoon. Its live listing now shows $85 to $140 per person and no venue or ceremony fee, so the answer to the first question is already on the page.

A fast reply has three parts: is the date open, what does it cost, and what does it include. If a venue can answer those three in one message, it wins the shortlist spot.

The three-line reply habit

  1. Line 1: the date. “We are open on [date]” or “We are booked on [date]; we have [two alternatives].”
  2. Line 2: the number. A price, a per-hour rate or a minimum. A range is fine. “Contact us for pricing” is how you land in the 19-day group.
  3. Line 3: the catch. Catering rules, security fees, deposit terms. Naming it early prevents the follow-up round. We covered this in our post on deposit and hold terms.
