A venue’s capacity is not one number. It is three: banquet, theatre and conference. Ask for “500 to 700 guests” in Port Harcourt and the answer changes depending on which one the venue is quoting.
That is the lesson from our first Nigeria lead. A planner asked for a space for 500 to 700 guests with big parking, good sound and lighting, and security. We built an eight-venue shortlist. Here is what the capacity numbers looked like, and why the same venue showed up with two different ceilings.
The brief: 500–700 guests, one-time event, parking and security
The planner found VenueKonnex through Google. The form asked for 500 to 700 guests and a booking window of about two weeks. The “venue in mind” field said not sure, but the planner had picked WhiteJade Event Centre from our listings.
Three needs were written out: parking, sound and lighting, security. No hall-style preference. No menu. Just a big room that is safe to get to.
Problem one: the anchor venue stops at 500
Our WhiteJade Event Centre listing says 50 to 500 guests and 10,000 sq ft. That fits the low end of the brief. It does not fit the high end. At 700 guests you are 200 people over.
Our local handler phoned WhiteJade the same day. The answer was that the date was doubtful. So the venue the planner liked was both tight on size and unconfirmed on availability. We widened the search the same afternoon.
The shortlist: 8 venues, 5 that clear 700 on paper
Here is what the published or researched capacity looked like for each one. These are the figures venues and their own pages state. They are not confirmed for this date.

Five of eight clear 700 on paper. Two do not. One is a question mark. That is the first useful filter. Cut anything whose top number is under your top number before you write a single email.
Problem two: our own listings and the venues’ numbers disagree
This is the part we did not expect. When we compared the research to what is on VenueKonnex, the gap was big.
- EUI Centre: our listing says 20 to 300 guests. The venue’s own site describes a main hall at 1,000 to 1,500 banquet.
- The Grace Place Events Centre: our listing says 50 to 500 guests. Research found a marquee configuration of 150 to 750 banquet.
- SUNTAAL Event Center: listed at 50 to 1,000 guests and 15,000 sq ft. That one lined up with what we found.
A planner who searches “venues for 700 guests” and filters on our EUI number would never see EUI. The room is big enough. The listing is wrong. A search that filters on a stale number drops a venue that fits.
The fix is on the venue side. If you own an event centre and your listing shows only your smallest hall, add every configuration. We cover how to do that in the post on publishing one capacity number.
Problem three: reaching them
The research split the list by how you can actually reach each venue.
- Email with a first-party address: 3 venues (EUI Centre, Aztech Arcum, I AM Event Center).
- Phone only: 5 venues. Several had only third-party booking-agent addresses, and we did not treat those as a venue contact.
We sent the three emails on day one, then followed up two weeks later. Here is what came back:
- I AM Event Center: the main address hard-bounced after two days of delays. A second address on the same domain went on the follow-up list.
- EUI Centre and Aztech Arcum: no written reply to the first email or to the follow-up.
- The five phone-only venues went to a local handler. In Port Harcourt the phone call is the real channel.
As of the last update to this case, 20 days in, there were zero written replies and zero confirmed dates. We flagged one more risk on the phone list: two venues appeared to share a booking-desk number, which means one call could answer for two rooms, or confuse both.
The same pattern showed up in our Manila 1,000-guest search and in the 800-guest brief we sent to 30 venues. Big events narrow the field fast, and the shortlist of rooms that fit is short in every market.
What to do if you are planning a 500+ guest event in Nigeria
- Ask which number it is. Banquet, theatre or conference. Seated dinner at 700 needs a very different room from a standing reception at 700.
- Add 15% to your headcount. A range of 500 to 700 means plan for the 700, because that is the number you will be held to.
- Check the date before the price. Our anchor venue was the planner’s favourite and was already in doubt on date. A cheap room that is booked costs you the most.
- Plan on phone calls. Email works for some venues. For many, a call or a WhatsApp message is the only thing that gets an answer.
- Write down your needs as a list. This planner’s three needs (parking, sound and lighting, security) made it easy to screen. EUI’s listing mentions sound, parking and air conditioning, and the research added stage lighting, CCTV and onsite catering.
- Ask for the all-in number. Hall hire, power, security and cleaning are often quoted separately. Our general breakdown is in the 2026 event venue cost guide.
The takeaway
The hard part of a 700-guest search is not finding a big room. Five of the eight we looked at are big enough. The hard part is that capacity numbers are inconsistent, listings go stale, and the venues that fit are reachable mainly by phone.
Plan for that and you will lose less time than we did.
