A 300-guest wedding in Orange County with $30,000 all-in is workable — if you pick the right kind of room. One Cantonese banquet hall priced its menus at $259 to $459 per table of ten. After 15% gratuity and 9.25% tax, the food for 30 tables came to $9,762 to $17,301. That leaves $12,699 to $20,238 for the bar, decor, sound and everything else.
Here is how that math was built, and why the room type mattered more than the budget.
The brief: Saturday, October 3, 300 guests, $30,000 all-in
A family in Orange County sent VenueKonnex a brief in early May. Wedding. Ceremony, cocktail hour and reception in one room. Indoors. 275 to 325 guests. The date was locked on Saturday, October 3 — no flex. They wanted a decision within two weeks.
The budget was $30,000. We asked the one question that decides everything: does that include everything? The answer was yes. Food, bar, tax, tip and decorations all live inside the $30,000. Photo and video sit outside it.
That is about $100 a guest, all in. In Orange County, on a Saturday, for 300 people, that is tight. It is not impossible. It just rules out most of the places people picture first.
Why the usual wedding venues don’t fit this number
Look at how a typical OC wedding estate prices a Saturday. Rancho Las Lomas lists a $15,000 venue rental for the day. Food, bar, staffing and equipment run about $250 per person through its exclusive caterer. For 200 guests, the venue estimates roughly $65,000 all in.
Apply that same formula to 300 guests and you land near $90,000. That is three times this family’s budget. Rancho Las Lomas is a lovely fit for a 200-guest wedding with a bigger budget. It is the wrong tool for a $30,000, 300-guest brief.
A resort ballroom is the next stop, and it has the same problem. Hyatt Regency Huntington Beach has seven ballrooms from 60 to 1,200 guests, so the space is there. But it publishes menu prices before service charges and tax. In our own data, the resort told a planner that $11,000 all-in for a 150-guest weekend dinner in early December was below what it could accommodate. A 300-guest Saturday at $30,000 is a smaller per-head number than that.
The Westin South Coast Plaza lists a pricing range of $3,000 to $20,000 and room for up to 600 guests. That is a useful range to know. It still doesn’t tell you the catering bill for 300 people.
The pattern is simple. Estates split the venue fee from the food. Hotels add service charges on top of menus. Both push a 300-guest Saturday well past $30,000.
The room that did fit: a banquet hall that prices by the table
The family’s own pick was White Palace (listed on VenueKonnex as White Palace 2). It is a Cantonese banquet hall in Orange County. Banquet halls work differently. You buy a per-table menu. The room comes with it. The whole price is the menu.
The venue confirmed Saturday, October 3 was open. Its menu came in four tiers, per table of ten:
- $259 per table — entry tier
- $339 per table — mid tier
- $369 per table — upper-mid tier
- $459 per table — premium tier, with whole lobster, abalone and Peking duck
The venue quoted 15% gratuity and 9.25% tax separately every time. So the real multiplier is 1.15 × 1.0925, or about 1.2564. Here is what 30 tables costs after both:

Read the last column. Even at the top tier, with lobster and abalone, there is $12,699 left. At the mid tier there is $17,222. That money has to cover the bar, decor, uplighting, sound and any extras. It is a real budget, not a rounding error.
One honest caveat: this venue’s menu is food. Bar, corkage, uplighting and security are separate questions, and the family asked each one. If you are planning something similar, ask for those lines in writing before you pick a tier. The menu number is only the first line of the bill.
What we learned sourcing the other 25 rooms
We did not stop at one venue. Our sourcing team built a list of 25 Orange County and Los Angeles banquet halls and sent them the brief. The results are a useful warning about how this category works.
15 of the 25 emails bounced. We had inferred those addresses from Yelp pages instead of confirming them on each hall’s own site, and it showed. When we re-checked the bounced list, 7 of 15 had the wrong city on the listing we’d found.
Phone calls told the rest of the story. Of the venues we reached by phone or follow-up:
- Two were permanently closed.
- One phone line was dead.
- One banquet manager said the room tops out near 250 guests — under this family’s 275 floor.
- One event center that our source list had at 400 seated told us its standard setup is about 150.
That last gap is the lesson. A capacity number on a map listing is not a capacity number for your event. Ask what the room holds seated, with a dance floor, for your format. The two numbers can be far apart.
The 4-step plan if you have 300 guests and $30,000 all-in
- Confirm the budget scope first. Ask whether $30,000 includes food, bar, tax, tip and decor. Ours did. Many don’t.
- Look at per-table banquet halls before estates. The price is one line, and the room is included.
- Multiply every menu by about 1.26. Tip and tax are not extras. They are part of the price.
- Verify seated capacity by phone. Ask for the number at your format, not the number on the listing.
How it ended
Once the date was confirmed open, the family chose to go direct with the venue they wanted. We made the introduction and stepped back. That was the right call. The shortlist we were building for the rest of the list was no longer needed, and the family had one venue, one date and a clear number.
