The Ask We Actually Send
No mass blast, no form letter. A planner in Metro Manila needed a venue for 100 guests, working budget ₱120,000, date fixed. We sent that exact brief – guest count, date, budget, event type – to six venues that could plausibly fit it. Here’s what came back:
- Hotel H2O sent their actual rate sheet: ₱2,500/head for a half-day package, ₱3,500/head for a full day, plus VAT, 30-person minimum. A real, usable number within days.
- Manila Prince Hotel sent a proposal but no pencil hold on the date.
- Tropicana Suites declined – their room caps out at 60 guests, well under the 100 needed.
- The Manila Hotel was fully booked for the date.
- Waterfront sent a generic acknowledgment with no pricing.
- Rizal Park Hotel confirmed availability and capacity by phone, but their reservations email bounced.
One usable quote out of six. That’s the reality of venue outreach – not a knock on any of these venues specifically, just what the data actually shows.
Round Two: Three Venues, Three Wildly Different Numbers
A different planner needed a venue for a 51-guest company Christmas party in BGC/Taguig, ₱300,000 budget. Their first-choice venue stopped answering the phone – disconnected direct line, a generic customer-care ticket instead of a real reply. So we sourced three backups in parallel. All three answered with real quotes for the same date and headcount:
- Fifth on 5th: ₱23,250
- BGC Arts Center: roughly ₱85,000
- Shangri-La The Fort: ₱380,000, minimum guarantee, about 27% over budget, and waitlisted

That’s a 44% response rate, and it’s the number that actually determines which venues get picked – not size, not brand name, not how nice the ballroom photos look. The other five – declined, no hold, fully booked, generic ack, bounced email – never made it into a single conversation with a real client.
We’ve also flagged this from the other direction: 93 of the venues we pitched this year never even saw the offer, because the contact info on file was dead. A bounced reservations inbox and a disconnected direct line cost real bookings – not hypothetically, in these two searches specifically.
This Isn’t One Market
These two searches happened to land in Metro Manila, but the pattern holds everywhere we’ve run it – a Southern California wedding, a separate 100-guest Manila event where the quotes came in over budget instead of under it. Different currencies, different guest counts, different event types – company parties, weddings, milestone birthdays. The variable that keeps repeating isn’t the market. Every one of these asks came from a real planner with a real date, not a scraped list or a cold pitch. Getting listed costs nothing. We only get paid a small referral fee, and only after a booking actually happens – a portion of which goes back to the planner as cashback, which is part of why planners keep coming back to us instead of cold-calling venues themselves.
