A $20,000 quote is not a $20,000 price. In one of our planner cases it turned into $27,500 once service charges and taxes landed. The fix costs a venue one sentence: say what the number covers and what it does not.

We work real planner searches. We email venues, collect quotes, and send the planner the options. Over and over, the first number a venue gives is not the number the planner pays. Here are five real examples from our case files, and the one-line label that would have saved each reply.

Five quotes. Five add-ons.

  • Palo Alto private dinner, 70 guests. A $20,000 minimum became $27,500 after fees. We broke down all 15 Peninsula quotes here.
  • Hampton Roads festival, 400 people. The venue quoted $3,591 for the event day. Then it added $1,795.50 for the setup day before. Full story here.
  • Long Beach graduation party. The city hall rental was $144 an hour. Then the security bill landed. Read the numbers.
  • A Long Beach park social hall, teen party. The hall fit a $2,500 budget and included kitchen, tables and chairs. But security was required at $78 an hour with a 5-hour minimum. That is $390 extra.
  • A Sierra 2 Center hall, 100+ guests. The rate was $2,222 for the day, plus a $400 refundable deposit. Security was required for 100 or more guests or any alcohol, at $40 an hour with a 4-hour minimum.

One more from New Orleans. A Bourbon Street balcony first came in at $175 to $250 a head for Fat Tuesday. The updated price was $300 a head plus ticketing fees and tax. Here is what 12 guests actually pay.

Notice what is missing. None of these venues were hiding anything. The add-on was a normal fee. It just came second, after the planner had already budgeted around the first number.

Why this costs you the booking

A planner compares quotes side by side. If your number leaves out the fees, you look cheap for one day. Then the planner finds the add-ons, rebuilds the math, and your room drops down the list. Or worse, the planner never rebuilds it and walks away from the total.

Small caveat: these are five cases from our files, not a survey. We saw the pattern often enough to write it down.

The one-line label

Write every price like this:

[Amount] for [what it buys]. Not included: [the extras].

Three examples of how that reads:

  • “$2,222 for the day, 8am to 11pm. Not included: security at $40/hr (required with alcohol), $400 refundable deposit.”
  • “$20,000 food and beverage minimum. Not included: service charge and tax.”
  • “$3,591 event day. Setup day the day before is $1,795.50.”

That is it. Three lines on a listing or in a first reply. The planner sees the real total before they email you. The ones who email are the ones who can afford you.

What a labeled price looks like on a live listing

These three VenueKonnex listings already do it:

  • Rancho Las Lomas in Orange County lists a $15,000 Saturday venue rental plus about $250 a guest. That is roughly $65,000 all in for 200 guests. Two pricing structures, side by side, never blended.
  • Wilson Creek Winery in Temecula lists $85 to $140 per-person packages, with no venue or ceremony fee. The “no fee” line is the label.
  • Big Basin Vineyards in Santa Cruz lists a $1,500 to $3,000 food and beverage minimum, depending on day and time, for up to 60 seated guests.

You do not need an exact figure to do this. If your price changes with guest count or day of week, say that. Pricing logic beats silence. “Varies by guest count, day and catering package” is honest. A blank is not.

Do this today

  1. Pick your most-asked package.
  2. Write the price with what it covers.
  3. Add one line starting “Not included:”.
  4. Put the same text in your listing and your first email reply.
